Setting up Google Workspace email on your devices: which app to use
All of these apps work with Google Workspace. Pick the one you're most comfortable with.

💡 Whichever app you use, look for the Sign in with Google or Google option when adding your account. It's the most secure way to connect and means you won't need to enter any server settings.
Add your Workspace email to the Gmail app
These steps work on iPhone, iPad and Android.
- Download the Gmail app from the App Store or Google Play, if you don't have it already.
- Open the Gmail app and tap your profile picture in the top right. If it's your first time, you'll be asked to sign in straight away.
- Tap Add another account, then choose Google.
- Sign in with your Google Workspace email address and password, and follow the prompts.
To switch between accounts, tap your profile picture and choose the account. The Gmail app can hold up to five accounts.
Add your Workspace email to the iPhone or iPad Mail app
- Open the Settings app.
- Tap Apps, then Mail, then Mail Accounts. On older versions of iOS, tap Mail, then Accounts.
- Tap Add Account, then choose Google.
- Sign in with your Google Workspace email address and password.
- Choose what to sync (Mail, Contacts, Calendars), then tap Save.
Your Workspace email now shows in the Mail app, alongside any other accounts you've added.
Add your Workspace email on Android
Most Android phones use the Gmail app as their main email app, so follow the Gmail app steps above. If your phone has a different email app, look for Add account in its settings and choose Google.
Add your Workspace email to Apple Mail on a Mac
- Open the Mail app.
- From the menu bar, click Mail, then Add Account.
- Choose Google, then click Continue.
- Your browser opens. Sign in with your Google Workspace email address and allow access.
- Choose what to sync, then click Done.
Add your Workspace email to Outlook
- Open Outlook and go to add a new account. In the new Outlook for Windows, go to Settings > Accounts > Add account.
- Enter your Google Workspace email address and click Continue.
- Outlook opens a Google sign-in window. Sign in and allow Outlook to access your account.
⚠ Older versions of Outlook, like Outlook 2016, may not connect to Google. If you have trouble, update to the latest version of Outlook.
Tips and things to watch out for
- Always choose Google or Sign in with Google when adding your account, rather than "Other" or manual settings.
- If you use 2-Step Verification (a code sent to your phone), have your phone nearby. You may be asked to approve the sign-in.
- Google allows up to 15 email apps to be connected to one account at the same time. Remove old devices you no longer use.
