If you've moved to a Google Workspace business email but still get emails at your old @gmail.com address, you can reply from either address without switching accounts. Gmail's Send mail as setting (sometimes called sending from an alias or changing your From address) lets you choose which address an email comes from. This guide shows you how to add another address, choose it when you write an email, and remove it later.
Sending from another email address: how it works
Once you add an address, a From dropdown appears when you write an email. You pick the address you want the email to come from. The email is still sent from your Google Workspace inbox, so everything stays in one place.
This works well alongside email forwarding. Forwarding brings emails in, and Send mail as lets you reply from the same address.
Note: From January 2027, Google will stop supporting Send mail as for addresses from other email providers, such as @yahoo.com or @outlook.com. Gmail addresses and Google Workspace aliases will keep working.
How to add a Send mail as address
Step 1: Open your Gmail settings
On a computer, sign in to the account you want to send from, for example your Google Workspace email. Click the Settings icon (the cog) in the top right, then click See all settings.
Step 2: Add the other address
- Click the Accounts tab. In some accounts it's called Accounts and import.
- In the Send mail as section, click Add another email address.
- Enter your name and the address you want to send from, for example your old @gmail.com address.
- Click Next Step.
Step 3: Enter the mail server details, if asked
Gmail may ask for the SMTP server details (the settings that let Gmail send emails for that address). For a Gmail address, use smtp.gmail.com, your full Gmail address as the username, and your password. Then click Add Account.
Step 4: Confirm the address
Google sends a verification email to the address you added. Sign in to that inbox, open the email from Google, and click the confirmation link.
If you can't see the verification email, check the spam or junk folder.
Choose which address an email comes from
When you write or reply to an email, click the From line and choose the address you want to use.
To reply from whichever address the email was sent to, go to Settings > See all settings > Accounts. Under When replying to a message, choose Reply from the same address the message was sent to.
Set a default address
If you want most emails to come from one address, go to Settings > See all settings > Accounts. In the Send mail as section, click Make default next to the address.
Change where replies go
By default, replies go to the address you sent from. To send replies somewhere else, click Edit info next to the address in the Send mail as section, then click Specify a different "reply-to" address. Enter the address and save your changes.
Remove a Send mail as address
Go to Settings > See all settings > Accounts. In the Send mail as section, click Delete next to the address you want to remove.
Tips and things to watch out for
- Check the From line before you hit send, especially on business emails.
- If you want every email to come from your business address, make your Google Workspace email the default.
- A Send mail as address you add on a computer also shows in the Gmail app, so you can choose it on your phone too.
Frequently asked questions
Why can't I see the From dropdown when I write an email?
The dropdown only appears once you've added and confirmed at least one other address. Check you clicked the confirmation link in the verification email.
The verification email never arrived. What now?
Check the spam or junk folder of the inbox you added. If it's not there, go back to Settings > Accounts and resend the verification.
Can I send from my @outlook.com or @yahoo.com address?
You can for now, but Google has said this will stop working from January 2027. We'd recommend moving to your Google Workspace address instead.
Is Send mail as the same as a Google Workspace alias?
Not quite. An alias is an extra address on your Google Workspace account, for example info@yourbusiness.co.nz, that's added by your Workspace administrator. Send mail as lets you send from addresses you own elsewhere, like your old Gmail.
